Billie & Blake ("we", "us", "our") hosts creative experiences and retreats. Billie & Blake is operated by Elizabeth Blake, trading as Billie & Blake (a sole trader), based at 34 Hythe Road, Sittingbourne, Kent, ME10 2LS. We are the data controller for the personal information described in this policy.

Information we collect

We collect information you give us directly, and a small amount of information collected automatically when you use our website.

When you make a booking

This may include your name, email address, dietary requirements, accessibility requirements, and any other information you choose to share to help us host your day well.

When you use our contact form

This includes your name, email address, the topic you select, and the content of your message.

Payment information

Card and payment details are collected and processed directly by our payment provider, Stripe. We do not directly store your full card details. See Third-party service providers below.

How we use your information

We use personal information to administer bookings, communicate with you about an event you've booked, respond to enquiries, and (only where you've agreed) send marketing communications.

Lawful bases for processing

We rely on: performance of a contract (to administer your booking); legitimate interests (to run our business and respond to enquiries); and consent (for marketing communications, and any optional information such as photography preferences).

Booking administration

We use your information to confirm your place, plan for dietary and accessibility requirements, and communicate practical details ahead of your day.

Communications

We'll send you booking confirmations and essential information about an experience you've booked. These are not marketing and are necessary to deliver the experience.

Marketing communications and consent

We will only send you marketing communications, such as news about future experiences, if you've opted in to receive them. You can withdraw this consent at any time.

Cookies and website analytics

Our website uses only the small number of cookies and similar technologies needed for it to function, including those set by our payment provider, Stripe, during checkout. We do not currently use third-party advertising or tracking cookies.

Third-party service providers

We work with a small number of trusted service providers who process personal information on our behalf, only for the purposes described in this policy.

Payment processors, including Stripe

Payments for our experiences are processed securely by Stripe. When you pay, your card details are sent directly to Stripe and are not stored on our own systems. Stripe's use of your information is governed by their own privacy policy.

How long we keep your information

We keep personal information for as long as necessary for the purposes described in this policy. Booking and enquiry records are generally kept for up to six years in order to meet our legal, accounting and tax obligations, after which they are securely deleted. Where you've opted in to marketing, we keep your details until you withdraw your consent.

Data security

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss or misuse, and we limit access to those who need it to run our experiences.

International data transfers

Some of our service providers, including Stripe, may process information outside the UK. Where this happens, we expect appropriate safeguards to be in place, such as those required under UK data protection law.

Your rights under UK GDPR

Under UK data protection law, you have rights including the right to access, correct or request deletion of your personal information, and to object to or restrict certain processing.

Access, correction and deletion requests

You can ask us to send you a copy of the personal information we hold about you, to correct anything that's inaccurate, or to delete it, subject to certain legal exceptions.

Right to withdraw consent

Where we rely on your consent, such as for marketing communications, you can withdraw it at any time.

Right to complain to the ICO

If you have concerns about how we handle your personal information, you can contact us first, or complain directly to the UK Information Commissioner's Office (ico.org.uk).

Changes to this privacy policy

We may update this policy from time to time. Any changes will be posted on this page, with an updated "last updated" date.
